This policy applies to the processing of personal data carried out through the website mallorcahealthconcierge.com and through communications with Mallorca Health Concierge in connection with its non-clinical healthcare coordination services.
Data we collect and how we collect it
We collect the personal data you voluntarily provide through the website contact form or by email: your name, contact details (email address or WhatsApp number), preferred language, a general description of the support requested, any dates or availability you choose to provide, and the content of your message.
Important: please do not send medical reports, diagnoses, test results, clinical images or any other health data through the contact form, by email or via WhatsApp. Mallorca Health Concierge does not request or require this information at the initial enquiry stage.
The website and its hosting provider may process limited technical data, such as IP address, browser information and pages requested, for security, service delivery and diagnostic purposes. Non-essential analytics are not activated without your prior consent.
Purposes of processing
Your data is processed for the following purposes: (a) responding to your enquiry or request for information about Mallorca Health Concierge services; (b) managing the pre-contractual or contractual relationship arising from the provision of the coordination service; and (c) complying with applicable legal obligations.
Legal basis for processing
Processing of your data is based on the following legal grounds under Article 6 of the GDPR:
Performance of pre-contractual or contractual measures (Art. 6(1)(b) GDPR): when you contact us to request information about the service or to engage our coordination services.
Compliance with a legal obligation (Art. 6(1)(c) GDPR): where processing is necessary to comply with applicable tax, accounting or other legal requirements.
Consent (Art. 6(1)(a) GDPR): where you choose to enable non-essential analytics through the cookie banner. You may withdraw your consent at any time without affecting the lawfulness of processing carried out before withdrawal.
Legitimate interests (Art. 6(1)(f) GDPR): for maintaining internal service management records, provided those interests are not overridden by your fundamental rights and freedoms.
Recipients and processors
Your data is not shared with third parties for commercial purposes. To deliver the service, Mallorca Health Concierge may use technical service providers acting as data processors, including web hosting and email providers. These providers are contractually bound to process data only on the controller's instructions and to apply appropriate security measures.
Your data may be disclosed to competent public authorities where required by applicable law.
International transfers
As a general rule, your data is processed within the European Economic Area (EEA). Where any technical provider transfers data outside the EEA, such transfers will be covered by appropriate safeguards under the GDPR, such as Standard Contractual Clauses approved by the European Commission.
Retention periods
Data provided through the contact form is retained for as long as necessary to handle your enquiry and, where applicable, to manage the contractual relationship. Once the relationship ends, data will be kept for the periods required by law — generally up to six years for tax and commercial obligations under applicable Spanish legislation — and then securely deleted.
Technical consent preferences are retained only for the period described in the Cookie Policy or until you change your choice.
Your rights

Data security
Mallorca Health Concierge applies appropriate technical and organisational measures to protect your personal data against unauthorised access, accidental loss, destruction or alteration. However, no method of data transmission over the internet can be guaranteed as completely secure.
Minors
Mallorca Health Concierge services are intended for persons aged 18 and over. We do not knowingly collect personal data from minors. If you become aware that a minor has provided us with data without parental consent, please notify us at [email protected] so that we can delete it.
Automated decisions
Mallorca Health Concierge does not make automated decisions or carry out profiling with legal or similarly significant effects on individuals.
